Administration to Finance/Information Systems - Edmonton

Purpose

This position provides a wide variety of complex and confidential secretarial and administrative support functions to assigned staff and departments.

Skills:

  • Skilled at clear and tactful communication to all parties, verbally and written.
  • General administrative duties: filing, letter and report writing, record keeping, proofreading, matching receipts.

  • Accuracy and attention to detail.
  • Critical thinking skills.
  • Professional with a commonsense approach to situations.
  • Consistent approach to dealing with workload demands and people you interact with.
  • Effective time management and organization skills, with demonstrated ability to set priorities and meet deadlines.
  • Sets effective boundaries and manages expectations, able to disconnect from work at the end of each day.
  •  Typing at 65+ words per minute

Education:

  • High school diploma or equivalent.
  • Office Administration Diploma

Experience:

  • Relevant experience in an office administration position.
  • Experienced with Office Suite, Apple products, internet applications, in-house programs and printers.
  • Experienced in managing and communicating with vendors.

Accountabilities:

  • Support assigned staff members.
  • Permanent reception relief - daily breaks and vacation.
  • Order office supplieis and coffee.
  • Process in/out bound mial.
  • Communicate proactively with members through phone calls and email. Determine if escalation is required.
  • Schedule and manage election buddy.
  • Maintain files, listings and records in electronic and hard copy formats.
  • Prepare reports, business correspondence, memos, schedules and other statistical data as assigned.
  • Attend and take minutes at meetings as required.
  • Manage calendars for individuals you support.
  • Schedule meetings
  • Order office furniture for new hires.
  • Building Management RE: parking/building access/maintenance/kitchen/offices.
  • Coordinate office moves.
  • Make travel arrangments.
  • Manage UNA Boutique store orders, collect ordered items and ship out.
  • Attend and participate in all assigned UNA meetings e.g. staff meetings, AGM.
  • Provides coverage as neccessary in the abscence of other Admin staff.

Perform all other duties assigned by a Director or Manager to support UNA in achieving its objectives.

Working conditions and physical requirements.

  • In office 5 days a week
  • Office environment with extended sitting & computer use
  • Travel and attendance at UNA offsite work/meetings/elections - must be able ot attend in person.
  • May work irregular hours on an occasional basis.
